5:30 p.m.: Meeting called to order by club President Wayne Deckard

Wayne Deckard: We had our fuel tanks inspected and they both passed. We can expect the inspection bill to come out to about $2,600. We have a guy in Frankfort that will install a monitoring system for $4,970 plus tax. Andy Henderson has offered to pay for the system then we can repay them monthly.

We must have the tank electrodes tested every three years at about $300 per test. We do not need our fuel lines tested. We will need the tanks tested every five years.

Chad Williams: I proposed that we do a detailed look out our fuel system before they replace it and tell us why the monitoring system failed. Could lightening have caused it?

If we want we can take certified tanks out of service then they can be brough back into service within two years. Above ground tanks need to be on asphalt or concrete. No IDEM inspection but then the State Fire Marshall needs a basin and fire suppression.

Wayne Deckard: With above ground you also have the risk of someone with a hand drill and 1/8-inch bit stealing your fuel.

Chad Williams: Motion to contract Gas Equipment Service Company for $4,891 for the system to be installed by December 31, 2008, and get consent to pay for it through the Hendersons. Jim Kouns seconded. All voted in favor. Motion passed.

Wayne Deckard: Michael Mossman to write a letter to the Hendersons, notifying them that we are paying the $2,600 inspection fee, with Hendersons to pay the $4,891 (plus tax) for the system, and BCAA will be repaying the Hendersons starting in January. We will need an itemized invoice.

Chad Williams: Motion that BCAA repay Hendersons through March with payments of the approximate equivalent of the regular monthly rent. Wayne Deckard seconded. All voted in favor. Motion passed.

Wayne Deckard: We need a letter from the board to Brentco requesting a donation for whatever they see fit for a not-for-profit, in reference to the certified fuel tax and getting in compliance.

Chuck Leucht: We need to check with our insurance policy on the equipment.

Wayne Deckard: Wayne will contact them on our coverage.

Chuck Leucht: It is in our club's best interest for Charles Westerfield to continue to cut the grass and push snow (within reason). No motion made.

Wayne Deckard adjourned the meeting.
